Junior Administrative / Accounts Assistant

Job Description

At L35, we are looking to incorporate an Administrative profile with basic accounting knowledge to support the Administration/Finance area in a professional services environment, with project-based management and a high volume of documentation.

Key Responsibilities

Accounts Payable (AP) – Supplier & Invoice Management

  • Receipt, review and registration of purchase orders, proformas and invoices.
  • Filing and document control by client/project (folders and Excel).
  • Supplier/contact onboarding and maintenance of records in the ERP.
  • Uploading and basic posting in the ERP, including partial payments when applicable.

Payments & Treasury Coordination

  • Preparation and follow-up of payments based on priorities (bank transfers or other internal means).
  • Request/collection of internal approvals and verification of supporting documentation.
  • Sending payment confirmations and communication with suppliers when necessary.

Accounts Receivable (AR) – Client Invoicing & Collections

  • Issuance of invoices, proformas and credit notes according to internal instructions.
  • Follow-up on collections and support in overdue receivables recovery (in coordination with managers).
  • Documentary support related to invoicing and collections.

Reporting & Internal Tools Update

  • Downloading reports (purchases, payments, invoicing) and updating internal records.
  • Support in accruals and control of basic forecasts.

Cross-Functional Administrative Management (as needed)

  • Document management for tenders/client platforms when applicable (document upload, traceability).
  • Control and filing of supplier certificates (e.g., Tax Authority/Social Security) and Excel records.
  • Ad hoc administrative tasks (insurance, incidents, reception support during coverage periods).

Internal Administrative Support

  • Support in organising and filing incidents, receipts and internal team documentation.
  • Maintenance of calendars/absence records and related administrative support, when applicable.

Mandatory Requirements

  • Degree in Administration and Finance or similar.
  • Previous experience in administration with basic accounting knowledge (suppliers, invoicing and collections follow-up).
  • Strong Excel skills (tables, filters and basic formulas).
  • Experience with ERP/invoicing tools (experience with Holded or other ERPs will be valued).
  • Accuracy, organisation and attention to detail; ability to work with large volumes of documentation.
  • Confidentiality and responsibility in handling information.
  • English: fluent level, minimum C1. Part of the interview will be conducted in English.

Nice to Have

  • Experience in project-based or professional services environments.
  • Basic knowledge of reconciliations and Treasury coordination.
  • Functional French for documentation and occasional communications.
  • Experience with client platforms and document management (e.g., Aconex/ARIBA or similar).
